My schedule may consist entirely of appointments. Ideally, if it is 2-4 meetings a day. But there are days when there are 6-7 of them – and this is an overload. I usually spend a minimum of 10 meetings a week, a maximum of 30.

Preparation takes a lot of time. The last time I was preparing for a meeting with a team of about 40 minutes. The most important thing is to choose a clear goal, so as not to waste time on unnecessary discussions.

In meetings, I use not only my time, but also the time of the whole team. Therefore, I initially determine the purpose of the meeting and make a thesis plan for what needs to be discussed.

Naturally, I inform the guys in advance what we will talk about. So they can prepare before meeting their thoughts on this matter.

The most effective meetings last no more than 40 minutes. There are many different statistics on how quickly a person loses attention. I noticed that after 30-40 minutes people get tired, start to get distracted by the phone and lose concentration.

A meeting can be called productive when there is a clear plan of action after it. We discussed the issue – and got a solution, discussed the idea – and you know how to implement it. Between meetings I try to take breaks for an hour and a half, this helps to recover.

My prime time for meetings is somewhere after 12. At the beginning of the day I am less productive – you need to drink coffee and tune in to working mode.

There is a huge difference between morning and evening meetings. Evening parties are most often perceived as informal. I can’t call the LABA lecturer for dinner, but having breakfast is easy.

In the evening, people are usually relaxed and reluctant to take serious questions. Therefore, business meetings are best held in the morning.

Before the meeting, I definitely need to understand why it is needed. If an invite is sent to me, please indicate the reason for the meeting in the title.

Each meeting should have an adjunct – a plan or a list of points that need to be discussed. It often happened: everyone seemed to discuss it at the meeting, but they forgot something and then long correspondence begins. Therefore, everything needs to be planned in advance.

I use the calendly.com service – it’s easy to tie up an account on Google calendar and just throw a short link to those who want to meet.

The service shows free slots, and any person who has a link can occupy this slot. For both participants, the meeting will “fall” into the calendar.

This is convenient – you can not tell your e-mail, which you need to share the meeting. It also indicates the size of the slot. I have 30 minutes for small meetings. Sometimes someone occupies two slots when you really need to talk for a long time.

Another point is the mandatory follow up. Following the meeting, you need to write what you agreed on and send it to all participants by mail. So they can immediately clarify something or disagree with something.

Once I practiced happy Wednesday – a day without meetings. I chose Wednesday as the middle of the week. On this day, from morning to evening, I just worked. This is convenient if you need to enter the stream and perform complex tasks.

But this approach did not last more than a month. On Wednesday, various meetings began to appear, some regular, which cannot be moved. Therefore, now there is no happy Wednesday – there is the usual Wednesday with meetings.

In recent years, my meetings have been held in two versions – online and offline.

The first more – somewhere around 80%. This is when communication or negotiations take place in a closed Facebook group or messengers. So I minimize the number of empty meetings, because many questions can be discussed virtually.

If the meeting takes place physically, I try to make it as effective as possible. For example, we agree in advance in correspondence that we will discuss and what we want to come to. I have not spent a long time meeting to discuss ideas.

The meeting should last 10-15 minutes. During this time, everything can be solved if we talk about specific things. I try to hold no more than 2-3 such meetings a day.

This approach allows you to perform more significant things at work. This is a matter of trusting the team – I delegate all tasks to the employees as much as possible, including decision making. Therefore, we do not need private meetings.
